Computer Accounts Overview

What types of accounts are available?

There are 5 main types of accounts which can be acquired by staff.

Authcate

This accounts is probably the most important. It gives the user access to the majority of Monash's IT Services, some of which include:
  • E-mail (Monash Messaging System)
  • External Web Site Access
  • Modem Access from home
  • Library Services
  • The my.monash portal
  • Staff E-services

Novell

This account controls access to most staff machines that are on-campus. It provides the following services:

  • Access to shared network drives in your area (V-drive)
  • Access to your own personal network storage space (U-Drive)
  • Access to network printers in your area
  • Distribution of common software applications to your desktop
  • The ability to transfer files from work to home over the internet

Callista

This is the Monash University Student Information System.

SAP

This is the Monash University Finance, HR, and Payroll Information System

SNG (Silas Next Generation)

This account gives access to UNIX type services.

What accounts do I need?

This depends on your job function. Almost all staff who want to use computer services at Monash will need an Authcate and a Novell account.

Callista and SAP accounts are generally only required by Administrative staff and special authorization and training is required before you can obtain one of these accounts. Contact your resources manager for more details.

SNG accounts are rarely needed by staff, they are generally only for special research & Information Technology needs.

How do I get my account created?

  1. Decide which accounts are appropriate for you (if you are not sure, contact your Resources Manager)
  2. Fill out a Computer Registration form, which can be found at this website. Ensure that you have completed all compulsory fields on the form.
  3. Get the Computer Registration form signed by your Resources Manager or Head of Department
  4. Fax or post the completed forms to Medicine IT Service & Support
    The accounts are created and the completed account details are sent to you or your Resources Manager, along with an information sheet on how to access them.
  5. Any problems after this point should be directed to us via e-mail (provided it is working correctly for you, of course!) or via phone.

What accounts am I eligible for?

Eligibility of accounts is determined by your Departmental Resources Manager. Please contact them if you feel you need access to a particular account.

How do I change any of my account details?

This is dependant on the type of account - the following tables outline some of the details you can change and how to get them changed.

Authcate
  1. Visit http://www.its.monash.edu.au/staff/passwords.html
  2. Click on the 'Change Authcate Password' Link on this page
  3. Enter your current Authcate Details
  4. Read the Instructions on the page carefully to change your Authcate Password
Novell
  1. Visit: http://www.its.monash.edu.au/staff/accounts/passwords/index.html

  1. Type 'passwd' at the SNG command prompt
  2. Enter in your current password

Why do some accounts have the same password and other don't?

Because your Authcate is used for a variety of purposes it's a common misconception that you can have hundreds of different passwords for hundreds of different areas.

This is not the case. When you change your Authcate password you have changed your E-mail, Exernal Web Site Access, Modem, Portal, E-services etc. passwords, because they are all the same account when authentication is concerned.

The exception to the rule is Novell, Callista, SAP, & SNG where your passwords may vary.

What happens when my contract expires?

You will be notified by e-mail 30 days prior to your contract expiring. If your contract is going to be renewed but may not be processed in time, you must computer an Authority to Extend Computer Access Form. Once this form is completed and sent to us, we can extend your account for up to 30 days after your contract expired. If your contract is not renewed by the end of this period the accounts are flagged for deletion and may be removed at any time.
