Daylight savings issue with Netscape Calendar

Daylight savings starts at 2 am Sunday 4 October 2009.

In the past some minor issues have arisen in your Netscape Calendar.

All meetings will show in the correct timeslot.

However, the following will appear incorrectly until *Sunday November 1*.

* The clock at the bottom of the Calendar page will be one hour behind.
* Alarms/notifications will arrive one hour late.

ITS has reviewed the time stamp issue and found there is no straight
forward solution without potentially creating further service
interruption.

We apologise for any inconvenience caused.

Accessing Monash email via the web

Managing your email quota

Staff can check their email quota by going to:
https://my.monash.edu.au/email/account/

Staff can increase their email quota by visiting: http://its.monash.edu.au/staff/email/quota/purchasing.html.

This request must be authorised online by providing the cost centre and fund and approved by your Resource Manager.

NOTE: IT Support staff cannot increase your email quota.
This can only be done via Monash ITS by using the online form above.

Q. Is there a limit on the maximum amount of quota I can purchase?
A. Additional disk space is available at a cost of $15 per 100 MB up to a limit of 4,000 MB (4 Gb).

Information Technology Use Policy

All staff and postgraduate students are strongly encouraged to read and familiarise themselves with the University's "Information Technology Use Policy - Staff & Other Authorised Users For Use by University Staff and Other Authorised Users of Information Technology Resources"

This policy deals with the provision of information technology resources by Monash University and the associated responsibility of authorised users when accessing these information technology resources. These resources include, but are not limited to, the Monash network, computer systems and software, access to the Internet, electronic mail, telephony and related services.

Time to change your authcate password

ITS Security peformed an audit of all Facultly authcate accounts earlier this year and have found that over 1000 Faculty staff have not updated their authcate password in over 6 years.
And over 100 staff have not changed their password in over 10 years.

Passwords at Monash
Your login details (username and password) should be treated like your bank PIN number and protected at all costs. You are responsible for this information and should never share your password with anyone. Sharing your password is a breach of the Acceptable IT use policy and can lead to disciplinary action.

Change your password often
As passwords can be captured and cracked over time, ITS recommends you change your passwords every 3 months. This makes it more difficult for any hackers to get access to your account.

Monash IT systems are set to check passwords when they are changed to ensure that they are difficult to guess, either by another human, or a program meant to guess passwords.  This helps ensure that your account cannot be broken into and your data (documents, programs, etc) stolen or deleted.

Do not share your Monash username and password

This month, two staff were detected using another staff members' user name and password.
Please note that this is in breach of the acceptable use policy:

Regarding Use of Monash University Computer Accounts

Each authorised user is responsible for:

  • The unique computer accounts which the University has authorised for the user's benefit. These accounts are not transferable;
  • Selecting and keeping a secure password for each of these accounts, including not sharing passwords and logging off after using a computer;

SPSS Version 15 licence code expires 31 October 2009

SPSS software Version 15 licence codes expire on Saturday 31st October, 2009. There have been some issues with staff migrating from Version 15 to later versions.

SPSS sent the following information, for anybody that is having these difficulties.

"Firstly, to give you some background, after V15, SPSS rewrote the Statistics software program on a new platform for release in V16. This created a number of known problems, and many of these were resolved in V17. During the overhaul, SPSS had to create a new format for the output files from SPSS Statistics. In V15, these output files had an extension of .spo, and in V16 the output files changed to an extension of .spv.

One of the key differences with the upgrade from V15 is that any V15 or prior output files cannot be opened in Statistics V16 or above. SPSS has provided a piece of software called the Legacy Viewer which allows anyone to open and view .spo files. There are no compatibility issues with opening and accessing data files (.sav) from V15 to V16 and above.

 With regards to migration, there should be no additional issues migrating from V15 straight to V17 instead of V16, and we would recommend V15 users to migrate to V17 or V18 directly."

Self installation of SPSS 17 via Novell

SPSS 17 for Windows is available at Monash for installation by staff

To install SPSS 17 via the Novell Application Launcher (NAL), please complete the following:

1. Login to Novell
2. Click Start
3. Click Run
4. Type Y:\nal.exe and then click OK
(If this doesn't work, type Y:\nalwin32.exe and then click OK)
5. Select [All] on the left hand side.
6. Double click on SPSS 17.0
(If you cannot see either of these icons, click on View/Refresh)

SPSS - staff borrowing the CD for laptop and home users

To borrow the SPSS CD to install the software on your Macintosh laptop, Windows laptop OR home computer (if eligible), please follow these instructions.

NOTE: SPSS Codes and CDS ARE NOT available from your local Medicine IT Support teams.

Microsoft software (e.g Office 2007) on privately owned computers

All staff are reminded that under the current Microsoft-Monash licence agreement (CAUDIT), staff must buy the 'work-at-home' media to have Microsoft products like Office installed on privately owned computers. This includes computers bought under Monash salary packaging.

Note that Faculty ICT staff cannot install these Microsoft products unless staff have purchased the 'work-at-home' media.

[Staff are also reminded to keep the recovery CDs (or Operating System CDs) in a safe location when buying a private computer. IT support staff may need these when rebuilding a computer (e.g. after a hard drive failure).]

There are three offers:

Microsoft Office 2007: training options

There are two options available to staff for Office 2007 training:

1. Microsoft online, self-paced training.
Microsoft offer many online training modules.

The course is run by Monash Staff Development and is designed to fast-track participants in navigating and using the new format of Office 2007 and Microsoft Word 2007.

IT Security at home

It is critical that staff protect their personal computers and laptops from attack.

What would you do if you lost all your assignments, research and computer work? Or your identity was stolen? Or you discovered that you made it easy for hackers to access the Monash network?

Guest wireless service

A new guest wireless service has been initiated by Monash, allowing visitors to have temporary access to the Monash wireless network.

Guest wireless provides an easier to use and more consistent experience for visiting academics, guest students and conference attendees who wish to have internet connectivity while they are at Monash.

This service has been implemented with the new Cisco WISM technology and uses the new ‘web authenticated’ open wireless network which does not require any configuration.

The only requirement is a valid Monash username/password. Guests will need to obtain this via their local IT Support group.

Alternatively, visiting academics and students, from an eduroam participating institution can log on to the guest wireless with their home university username in the format username@university.edu.au

The service is part of the 2009 Wireless improvement program.

iPhone 3.1 and the Monash wireless network

Testing of Version 3.0 of the Apple iPhone operating system has confirmed that there is a bug in the Apple software and so OS 3.0 is not fully compatible with the Monash wireless system:

Apple have released verion of OS 3.1 for download, which has been tested by Monash and fixes the above connection problem.

Please ensure you backup your iphone before doing any system software upgrade.

How do I access Novell (V:\ drive) from home (off-campus)?

Staff who have accounts on the Monash NetWare staff environment can gain access to their U: and V: drive files remotely (through your own ISP) with NetStorage via any web browser.

Access to NetStorage is operating system independent so whether you are a Windows, Macintosh or Linux user, you will be able to access your NetWare drives. The web interface is accessible to all staff at:

New End-Of-Lease Pickup Procedures

ComputerCORP (previously Paragon) will no longer be providing a system for the return of IT assets that have reached their end of lease dates.

Monash have negotiated a contract with Macquarie Technology Services (MTS)  to provide the service in future. Unfortunately there will no longer be an automated system. In future ITS will provide a spreadsheet with all outstanding leased assets. Departments will need to copy and paste the assets for return onto a manifest template and email to MTS. The spreadsheet will be updated weekly to remove returned assets and monthly to add assets that are within 3 months of their end of lease date.
More information will come later time with a general email.

Monash have signed the contract and are waiting to hear back from Macquarie that they have signed the contracted. Once signed, the new system can begin. Information about the new website and process will be sent at that time, via email.

In the mean time, existing loads in the old system have been transferred to the new manifest format by ITS. MTS will aim to schedule these assets for pick up first. Further details have been emailed directly to staff involved with End-Of-Lease.

Please note,
*MTS cannot schedule anything for pickup until they sign the contract.
*Under the new contract, Monash will need to give 4 business days notice (not the 2 days that we used to give).
* Any assets with an EOL date prior to June 28 2008 were written off by Macquarie Bank and as such cannot be returned. Any of these assets have been identified and taken off manifests
* ITS will pay the lease overruns from the date the asset was booked to be picked up until the the first possible day that it could have been returned. This will be for assets that have overrun their EOL period only.

Supply of Hewlett Packard Desktops and Notebooks

Due to ongoing supply issues with Hewlett Packard Desktop and Notebook machines, Monash University has invoked a contingency plan.

From 10:00am Monday 12th October 2009, Monash will purchase / lease HP machines directly from Hewlett Packard.

This purchasing model is an interim measure and will be in place until further notice.

An online catalogue will be provided for standard equipment and details of a contact for quotes will be available at http://www.its.monash.edu/staff/it-leasing from Monday 12th October 2009.
