Major IT service interruption for data centre power upgrade: July 10-13, 2009

I am writing to advise and provide early warning that essential
maintenance work to upgrade power infrastructure will be carried out on
one of the University’s IT data centres; this will have a significant
impact on the availability of some IT services. The work is required in
order to meet the University’s growing and expanding data storage demands.

The power upgrade will occur from 12 noon, Friday 10 July to 12 noon,
Monday 13 July. Every effort has been made to limit the impact of this
upgrade work on our IT services. A range of operating options to
undertake this work (including staggering the work over several nights
or weekends) were considered by external engineering specialists,
however their advice concluded that undertaking the upgrade works over a
continuous 72 hour period, provide the lowest risk of damage to
essential equipment and/or prolonged service interruptions.

While most University IT services will remain available over the upgrade
period, the following services will be affected:

a) University wide services

* SAP: HR Services, Finance and Payroll
The pay input deadline will be brought forward to 11am on Tuesday 7 July
for the pay period ending Friday 17 July 2009. Pay will be disbursed to
bank accounts as normal by Thursday 16 July 2009.

* Some Novell shared directories (details are at the ITS website below).
* Syllabus+
* Advancement systems (discussions are being held to minimise any
disruption to student recruitment activities).
* Allocate+
* Business Intelligence
* i Folders
* Novell shared directories (some - please check the ITS website below).
* Novell user directories – (some - please check the ITS website below).
* Research Master
* Research support services (for details please check the ITS website
below).

b) Services specific to the Faculty of IT
Web servers, Unix and Citrix logins, printing services to 20 users and
Matlab (technical visualisation programming).

c) Services specific to the Faculty of Medicine
MNHS data storage cluster, web and database servers, Moodle (learning
management system), Equella (digital learning object repository),
student placement system and Sakai (staff collaboration).

d) Services specific to Student and Community Services
Career Hub and ZedMed

e) Services specific to Facilities and Services
BEIMS, carpool and space management

f) Services specific to Monash Residential Services (MRS)
Residential Management System

July 10-13 Power Outage: TSG alternative contacts

Due to the upcoming major IT service interruption that will occur later this week, Medicine TSG has provided the following contact mechanisms to minimise the effect of the interruption on faculty staff.

How the July power outage will affect SAP

You will have noticed the global email from Peter Marshall last week concerning the major power outage taking place between 10 and 13 July as an urgent upgrade to the University’s IT data centre takes place.

The SAP system is one of the systems and facilities listed in that email – it will be affected as its servers are housed in the data centre being upgraded.  That means that from when the system powers down on Friday, 10 July (at around midday) until power is restored on Monday, 13 July (at around 3pm), SAP will be unavailable for all transactions.

HR SAP users will be notified separately of specific pay-related deadlines.

We will be in contact closer to the date to confirm exact timings for the power outage and its effect on the SAP server, and again once the system has been restored.

How the July power outage will affect the web content updating services

Web Content Updating services (this includes the Web Content Management
System and file/content uploads via webedit and webdav) will be
unavailable to all users from 1PM Friday 10 July 2009 until 11AM Monday 13
July 2009.
This outage is necessary whilst important power works are
performed in ITS. During this outage, content authors will be unable to
manage their web content.

Most Monash web sites will be still viewable during this outage.

Could you please ensure that all approved changes to web content are
submitted and completed before 12 noon on Friday 10 July.

How the July power outage will affect Employee Self Service (ESS)

Due to the advertised power works this weekend the Human Resources Division will be finalising the pay run for the current fortnight this evening.  In order to ensure there are no issues with the pay run, Employee Self Service (ESS) will be unavailable from 6pm Thursday July 9, 2009
ESS is expected to be back online from 2.30pm on Monday 13th July 2009.

As per the scheduled interruption notice, all Faculty (MNHS) provided services have been restored as of 12noon Monday July 13 2009.

Some University systems are still going through start-up and final testing procedures, we expect these to be available during the afternoon.

iPhone 3.0 and the Monash wireless network

Recently, Apple released version 3.0 of the iPhone operating system.

Recent testing has confirmed that there is a bug in the Apple software and so OS 3.0 not fully compatible with the Monash wireless system:

(NOTE: This error only affects users running OS 3.0 on both iPhone 3G and iPhone 3GS.)

The error is that the iPhone does not autojoin back to the Monash network when disconnected (e.g when the phone goes into sleep mode). This means that you can still connect manually to the Monash wireless network, but if disconnected, you must manually reconnect each time. Currently this does not affect connecting to most other wireless networks (including home systems).

IMPORTANT: Please note that this may mean that your Internet usage charges may change between Monash and your 3G service provider. It staff are not careful, their downloads bills may be significantly larger after migrating to OS 3.0 (depending on your data plan and how much internet activity you perform on a Monash campus). Until the bug is fixed, staff will need to ensure they are actually connected to the Monash wireless network (and not assume they are connected).

If your iPhone is privately owned, then you will already know what data plan you are on and what downloads are costing you.
If you iPhone is Monash owned, please ensure that you contact Solve Communications (Monash's Telstra dealer) and confirm that you have a data plan and that it is adequate for your needs (as approved by your supervisor):

Please note that Monash logged the error with Apple last week and they will be releasing a patch (version 3.1) in the near future.  Also note that Monash is not the only institution affected by this Apple bug in OS 3.0.

Finding your IP Address and Subnet

When registering a computer for the Monash network, often you will be requested for a network card address.

Internet Explorer 8 and ESS (Employee Self Service)

Dear Staff Member,

Internet Explorer 8 (IE8) is not currently supported by SAP and ESS is only compatible with IE8 in compatibility mode.

To use ESS with IE8, the following browser settings will need to be adjusted (please note that all Monash websites will then be displayed in compatibility mode):

1. Open Internet Explorer
2. From the Tools menu select View Compatibility Settings
3. Type monash.edu.au in the field titled ‘Add this Website’ and click
the ADD button
4. Close screen

Additionally, if you have recently upgraded your browser, you should also ensure your pop-up blocker settings have not been affected:

1. Open Internet Explorer
2. From the Tools menu select Pop-Up Blocker and then select Settings
from menu on right
3. Check to see that monash.edu.au is listed in the Allowed Sites box.
If it is not there, type the address in the box above, click Add and
then Close
4. Close Internet Explorer, then re-open a fresh screen and log in to ESS

STATA 11 (Released late July)

'Stata is a complete, integrated statistical package that provides everything you need for data analysis, data management, and graphics.

Stata 11 will be released in late July and the new version adds many new features such as multiple imputation, factor variables, generalized method of moments (GMM), competing-risks regression, state-space modeling, predictive margins, a Variables Manager, and more.'

Currently Faculty staff receive a discount on purchases based on a volume licence (there are currently over 80 licensed users of Stata 10 in the Faculty). The price for Faculty staff to upgrade to Stata 11 will vary from $180-$300/licence depending on how many staff upgrade.

UPDATE: iPhone 3.1 and the Monash wireless network

Recent testing of Version 3.0 of the Apple iPhone operating system has confirmed that there is a bug in the Apple software and so OS 3.0 not fully compatible with the Monash wireless system:

Apple have just released a beta (test) verion of OS 3.1 for developers, which has been tested by Monash and fixes the above connection problem.

Apple will officially release iPhone OS 3.1 once all testing has been completed.

Important changes to IT leasing for 2010 - from Peter Naujoks, Director, Monash Strategic Procurement

Due to the results of an extensive review into the long-standing operating IT lease facility with Macquarie, a decision has been taken to cancel the current arrangement. This decision was endorsed by the Vice Chancellors Group at a meeting in March 2009.

As a result of this change, Monash stands to achieve significant cost savings.  

The change will ensure:

  • The interests of the University are adequately represented, and
  • That our resources can be managed in a more sustainable, centralised manner, in conjunction with higher education sector best practice


What does that mean for my department / division?

It means that:

  • No new leases will be available as of 1 January 2010
  • Existing leases will be honoured until lease end


Developing your budget and planning to lease IT equipment in 2010? The change will mean you’ll need to allow for this in your 2010 budget submission.
Finance will be in touch with your faculty / division shortly with information about the impact, including lease exposure, and what you need to do next.

Apple Warranty Change: September, 2009

Apple has decided to change the education warranty in Australia  from the current three years return to base (RTB) ("Apple TriCare Protection Plan) to one year RTB ("AppleCare Protection Plan") effective September 1st 2009.  All machines purchased by the University until the end of August will include the 3 year RTB warranty.

This means  that warranty will be reduced to 12 months and Monash staff will need to pay for the extra two years (if required).  The new plan has been enhanced to include on-site and also global coverage.   Apple sees the benefits of the new plans as being onsite, global coverage and offering more customisation options.

Problems with delivery of HP desktop machines, notebooks and printers

Due to component delays, Monash is experiencing problems with delivery of HP desktop machines, notebooks and printers. Initial investigations suggest the problems are industry wide and not confined to just Leading Solutions and HP.  Delays at this point are stretching out to 4 or more weeks.

Monash are meeting with our suppliers to build a resolution strategy and to discuss communication issues. We are treating this problem very seriously and we understand the adverse effect this problem will have at this critical time of the year.  At this point we will be asking our suppliers to prioritise orders for computer lab machines and student administration areas.

Microsoft Office 2007 - on privately owned computers (incl. Salary Sacrifice)

Under the Microsoft CAUDIT-Campus agreement, staff members (but not students) of Monash University are licensed to install and use one copy of CAUDIT software on a home computer (including Monash Salary Sacrifice purchases), for work-related purposes only. This includes Microsoft Office Enterprise 2007 and Microsoft Office 2008 for Mac.

The Work at Home right does not include staff of affiliates or staff of approved independent entities, visitors, contractors or consultants.  A valid University staff identification card is required.

A separate license does not need to be purchased, however a fee is payable for the media ($16 + postage).

HOWEVER, installations under the 'Work at Home' provision may only be done using media purchased from Microsoft via approved reseller Insight for the exclusive use of the individual staff member.

NOTE: Your local IT staff cannot install the software using the University's media.

Microsoft Office 2007 - Training Options

There are two options available to staff for Office 2007 training:

1. Microsoft online, self-paced training.
Microsoft offer many online training modules.

Microsoft Office 2007 - comes with a free PDF creator

The 2007 Microsoft Office Add-in "Microsoft Save as PDF"  allows you to save to the PDF format in eight 2007 Microsoft Office programs. It also allows you to send as e-mail attachment in the PDF format in a subset of these programs.

Most staff will find that as all of their documents are in the Microsoft Office format, there is no need to purchase Adobe Acrobat, thus saving money.
