Safe Internet Use - Protection from Viruses

Viruses, malware and spyware are the result of unsafe internet practices and/or an unprotected (unpatched) operating system. These infections provide a serious risk not only to the staff member's computer and data, but to the data and computers of other University members.

It is the responsibility of all staff and students to follow safe internet practices to ensure that they do not expose their computers and datas to viruses and spyware. While Sophos Antivirus software and a fully patched computer provides valuable support, infections can occur if allowed by the user. Nearly all infections are the result of unsafe internet practices.

Monash recommends that staff follow safe internet practices:

  • Stay on trusted web sites.
  • Never follow a link in an email that wants you to update account/personal information.
  • Do not open unknown email attachments.
  • Links may not be what they seem.
Hold the mouse pointer over a link to see the actual link location (usually displays in the bottom left).
  • Do not run, download or forward any unsolicited executables, documents, spreadsheets, etc.
Anything that runs on your PC should be virus checked and approved first.
  • Scan all USB memory devices for viruses before use, each and every time.
  • Ensure that you follow the same procedures at home and elsewhere.
Viruses can easily be spread from one location to another.

Microsoft software on privately owned computers

Under the Microsoft CAUDIT-Campus agreement, staff members (but not students) of Monash University are licensed to install and use one copy of CAUDIT software on a home computer that they own or lease, for work-related purposes only.

A license does not need to be purchased.

HOWEVER, installations under the 'Work at Home' provision may only be done using media purchased from Microsoft via approved reseller Data#3 Ltd for the exclusive use of the individual staff member.

Your local IT staff cannot install the software using the University's media.

To order the media, please visit:
http://www.its.monash.edu.au/staff/software/catalogue/microsoft/work-at-home.html

NOTE: There will be delays this month with all "Work-At-Home" orders - see below.

Microsoft Office Ultimate 2007 for $75

UPDATE: Due to popular demand, Microsoft have extended It’s Not Cheating until further notice.
http://www.microsoft.com/australia/education/unistudentoffer/default.mspx

Please note that the Microsoft "It's Not Cheating Offer" (http://www.itsnotcheating.com.au) is now officially available for all Monash staff and students. Under this offer you may purchase 1 copy of Microsoft Office Ultimate 2007 (Windows) for $75.00.

The offer was designed as a low cost option to encourage University students to purchase, rather than pirate, software. Microsoft are able to authenticate that a student is eligible for this offer, because it works via email validation against domain names provided by the University.

Microsoft have now confirmed that the offer is available to anyone with a valid Monash University email address.

------

NOTE: The restrictions that apply to the staff only 'work-at-home' $25 version, do not apply to this offer.

The main 'work-at-home' version restrictions are:
*You must only use this software for campus-related work at home.
*The software must not be used to run private business activities.

Delays on Microsoft "Work at Home" software from Data #3

Please note that the University's Microsoft Select and Campus Agreements expired on 31 December 2008.    This is the agreement that allows Monash to use Microsoft software:
http://www.its.monash.edu.au/staff/software/catalogue/microsoft/microsoft-caudit.html

However, Monash may continue to use all Microsoft software covered under our Campus Agreement.

Monash is currently in the process of selecting a new approved reseller of Microsoft software, currently Data#3, which should be announced later this week.

Work at Home Orders
Please continue to send these requests to Data#3:
http://www.its.monash.edu.au/staff/software/catalogue/microsoft/work-at-home.html

Currently your orders will not be processed until the new reseller has been selected and the new Agreements have been signed with Microsoft.  If Data#3 is not chosen as the new LAR, they will transfer all the Work At Home orders to the newly selected vendor for immediate processing.

Laptop thefts from Clayton Campus

This month, the Faculty has had 19 laptops stolen from the Clayton campus.

This is a timely reminder that:

1. All staff with laptops should keep their computers locked in their office, using a security lock at all times.

2. Never leave your laptop on your desk at night (even with a security  cable). Laptops should be removed from sight and preferably locked in a filing cabinet.

3. Staff should keep all Monash data on the Faculty's Novell server, or other Monash data servers, as a secure backup solution.

Staff should contact their local IT support for further information on physical security options and backup solutions.

Apple Time Capsule not permitted at Monash sites

The Apple Time Capsule is an external backup device that works wirelessly with Time Machine in Mac OS X Leopard.

However, as this device works wirelessly, it conflicts with existing Monash infrastructure and is not permitted for use at Monash campuses.
http://www.policy.monash.edu/policy-bank/management/its/wireless-networks-procedure.html

Please note that Monash offers several supported backup data servers for staff to backup their Monash data (for both Windows and Macintosh operating systems). Please contact your local IT Support team for more advice.
